Graduation and Commencement Ceremonies

Notes for Final Year Students

1. Students who have completed all the graduation requirements will receive the academic transcript (without honours classification) certifying that you have met the graduation requirements before your honours classification is approved by the Senate. Students who are approved to graduate by the Senate will receive a copy of their academic transcript with honours classification by email after the Senate Meeting and the hard copy of the transcript will be mailed to all graduates. The issuance date of the transcript of academic record for the graduation year will be posted here and final year students will also be informed of the date by email.


2. All final year students are requested to verify your personal data via the University Information System (UIS) before graduation. As your English and Chinese names in our record will be printed on your degree diploma, you should make sure that they are identical with those on your HKID card/passport. In case of any discrepancies, please complete the form Application for Amendment of Student Personal Data and return it to the Undergraduate Studies Section immediately.


3. Upon graduation, you will become a Baptist alumnus. Our Alumni Affairs Office (AAO) would like to keep you update on future events of the University and privileges available to alumni. With a view to communicating with you on the above, we shall transfer your personal particulars to the Alumni Affairs Office unless you do not agree to such arrangement by indicating at the bottom of the 'Student Record & Personal Particulars' page under 'Profile' in UIS. If you agree to transfer your personal particulars to AAO, your personal data may also be disclosed to any third party service providers in connection with the University for carrying out promotional activities. If you agree to transfer your personal data to AAO but do not want to have them disclosed to any third parties, please email to AAO at alumni@hkbu.edu.hk. We look forward to staying in touch with you and to enriching your life with the unrelenting Baptist spirit.


4. Please note that once the Senate has approved a student to graduate, his/her access right to all functions related to academic and personal data in UIS will expire. Should there be any change of your personal data after your graduation, please notify us by email to ugs@hkbu.edu.hk or fax to (852-3411-7373). For verification of your identity, the form must be submitted together with a copy of your HKID / student card.


5. All graduates will be invited to take part in the Commencement. Detailed Information and arrangement of the event will be announced by stages starting from September of your graduation year. Invitation package will be sent to all graduates by post in early September. If you have changed your correspondence address, please keep us updated by filing out the "change of address form" in order to avoid delay in receiving information of the graduation ceremonies.
